AI Dispatcher: AI built in
The AI Dispatcher is the AI built into DispatchMind. Tap AI Dispatcher at the top of any page and it opens right under the button. Type a question in plain English, or tap the mic and say it. It looks things up across your jobs and makes the change for you. It checks with you first before anything that touches money, cancels a job or makes a big change.
Three ways to run it:
- The free trial: it's on for all 14 days. Nothing to set up.
- The AI Dispatcher add-on: $149 a month on top of any plan, on DispatchMind's AI. Nothing to set up. Pick it in Plan and billing.
- Your own Claude API key: connect a key from Anthropic once and pay Anthropic directly for what you use. The steps are below.
Using your own key, step 1: Get a Claude API key
- Go to Anthropic's developer console and sign in or make an account.
- Add a payment method there. This is billed by Anthropic, not DispatchMind.
- Create an API key and copy it.
Step 2: Connect it in DispatchMind
Connections are there once your company has signed up. They are not part of the live demo.
- Open your account menu at the top right (your initials).
- Open Connections.
- Paste your Claude API key in the AI section.
- Save.
Your key is stored encrypted and is never shown back. To change it, paste a new one in the same place.
Step 3: Ask it
Tap AI Dispatcher at the top of the page and type, or tap the mic and talk. Talking is handy when you're driving or on the phone.
Things you can ask:
- "Which jobs are waiting on parts?"
- "What's on Devon's schedule tomorrow?"
- "How much did we book last week?"
- "Who still owes us from last month?"
Things the AI Dispatcher can do:
- Change a job's status
- Add or change tags
- Add notes
- Book or move an appointment
- Assign or change the tech
- Create a new job
Example: "Parts came in for Susan. Book her Friday at 10 and give it to Devon." The AI Dispatcher finds the job, books it, assigns the tech and tells you what it did.
It checks with you first
Before anything that touches money, cancels a job or makes a big change, the AI Dispatcher stops and asks you to confirm. Read what it plans to do, then say yes or no.
After the AI Dispatcher makes a change, it tells you exactly what changed so you can check it. If it got something wrong, undo it or fix it on the job.
Tips for good answers
- Use names. "Maria Lopez's furnace job" works better than "that furnace job."
- One thing at a time when you're starting out. Once you trust it, string a few together.
- Say the day. "Friday at 10" beats "later this week."
What it costs
On the free trial it costs nothing. The add-on is $149 a month (AI Dispatcher Plus, for busy offices, is $299). On your own key, DispatchMind charges nothing extra and Anthropic bills you for what you use; check your usage and set limits in Anthropic's console.
Common questions
Who sees my requests? Your requests go to Anthropic, through your own key or DispatchMind's, under Anthropic's terms for API use. Anthropic doesn't train on API data by default. Check Anthropic's current terms for the details.
The AI Dispatcher isn't answering. Check that your key is connected under Connections and that your Anthropic account has billing set up. Then check the status page.
