Dispatch board and calendar
The dispatch board and the calendar show the same jobs in two ways. Use the dispatch board to run today: your techs side by side, so you see who's free and who's slammed. Use the calendar to plan ahead: open time and double bookings for the day, week or month.
Whatever you change on one shows up on the other, and in the tech's app, right away.
The dispatch board
Open Dispatch from the menu. Each tech gets a row across the day, with their jobs placed by time. At the top you'll see how many techs are out and how many open slots are left.
Use it to:
- Spot a tech with a gap in their day.
- See which jobs are still waiting for a tech.
- Move work when a job runs long or a tech calls out.
Assign a job
- Find the job that needs a tech.
- Put it on a tech's row where there's room.
- Check the time.
The job shows up in that tech's app with the address, notes and checklist. You don't need to text them.
Move a job
Plans change. A job runs long, a part is late, a customer asks for the afternoon.
- Find the job on the dispatch board or the calendar.
- Move it to another tech, another time, or both.
- Check the new spot.
The old tech no longer sees it. The new tech does. The job's history keeps a record of the change.
You can also move a job from the job page by changing the date, time or tech there.
The calendar
Open Calendar from the menu and pick a view:
- Day: every job today, hour by hour.
- Week: the week ahead, good for spotting open time.
- Month: the big picture, good for planning installs and follow-up visits.
Double bookings stand out, so you catch them before the tech does.
Today
Today is the screen to open first each morning. It shows what's on, who's out, and what needs you right now. Some owners keep Today open on one screen and the dispatch board on another.
Good habits
- Book with a tag. Every job on the board should carry a color tag so you can see what it needs next. See Jobs, tags and search.
- Leave room. Keep an open slot or two for urgent calls.
- Move it in the app, not by text. If you tell a tech by text and don't move the job, the office and the tech end up looking at different days.
- Check the week on Thursday. The week view shows next week's gaps while there's still time to fill them.
