Jobs, tags and search
Every piece of work in DispatchMind is a job. The job holds the customer, the address, the notes, the photos, the tags, the money and the history. If it happened on that job, it's on the job page.
Two things tell you where a job stands at a glance: its status and its color tags. Status says where the job is in its life. Tags say what it needs next.
Create a job
You can book a job while you're still on the phone with the customer.
- Click New job at the top of the menu on the left. On a phone, open the menu first.
- Enter the customer's full name and phone number. If they're already a customer, pick them from the list.
- Enter the address.
- Pick the job type.
- Add notes for the tech.
- Add a color tag.
- Set a date and time and assign a tech, or leave it unscheduled for now.
- Save.
The job now shows on the jobs list, the dispatch board, the calendar and the customer's page.
Color tags
Tags show what a job is waiting on. A few examples: Scheduled, Get approval, Parts ordered, Ready to invoice, Estimate.
- Your line of work comes with tags already set up.
- You choose the names, the colors and the order.
- A job can carry more than one tag.
- Sort and filter the jobs list by tag to see every job waiting on the same thing.
To change your tags, open the settings where you customize job types, tags, checklists and fields. Keep the list short. Ten clear tags beat thirty fuzzy ones.
Statuses
Each job has a status that moves forward as the work gets done. Change it from the job page, or let the tech change it when they close out from the app. Automations can also change status or tags for you. See Automations and reminders.
The jobs list
Jobs shows every open job in one list.
- Sort by any column.
- Filter to narrow the list down to what you need.
- Save the views you use most, like "Waiting on parts" or "Ready to invoice."
Search
The search box finds any job or customer by:
- Name
- Phone number
- House number or street
- Work order number
Type a few letters and the matches show up as you type.
Customer pages
Click a customer's name to open their page. It shows every job, note, photo, estimate, invoice and payment for that customer, plus the equipment installed at each address.
Tips
- Always use the customer's full name, not initials. It makes search work.
- Tag the job the moment something changes. A job with the wrong tag is a job that gets forgotten.
- Check Today each morning for what needs you next.
