How to Cancel Podium: Non-Renewal Notice and Your Data

By the DispatchMind team · Updated 10/12/2026 · 6 min read

To cancel Podium, email a written notice of non-renewal to support@podium.com at least 30 days before your current subscription term ends. Podium's terms (effective 10/01/2026) set a default 12-month term that renews automatically for the same length, and ending early generally means you still owe fees for the whole term. After it ends, you have 30 days to request your data in writing.

First, a rule that beats everything below: your signed order form or contract overrides the public terms. If yours says something different, it wins. Check Podium's site and terms for current details.

Before you cancel: a checklist

Step by step

  1. Read your order form. It sets your term and renewal date. Under §7.2 the default is billing yearly in advance.
  2. Send the non-renewal email. §8.1 says you can give notice of non-renewal by email to support@podium.com. Include your business name, account details, and a clear line: "We are giving notice of non-renewal under section 8.1. Please do not renew our subscription."
  3. Send it at least 30 days before the term ends. Earlier is better.
  4. Get a written confirmation. Save Podium's reply and the date you sent your email.
  5. Export your data before the term ends (see below), and note the 30-day window after.
  6. Remove Podium-connected features you've moved elsewhere, like website chat widgets or review links, once the new setup is live.

Notice periods, refunds and contracts

From Podium's terms and conditions (version 6.4, effective 10/01/2026), checked 10/12/2026.

Topic What the terms say
Term §8.1: default initial term is 12 months, renewing automatically for equal periods
Notice §8.1: written notice of non-renewal at least 30 days before the term ends, by email to support@podium.com
Billing §7.2: subscription fees paid yearly in advance; fees are non-refundable and non-creditable except as stated in the terms
Price increases §7.5: Podium may raise fees with 45 days' written notice
Leaving early §8.3: if you end early, you're responsible for fees for the entire subscription term
Closing the business §8.3.1: saying you've dissolved is not enough by itself to end the agreement; downsizing, a change of ownership or deciding to stop using Podium don't count
Formal legal notices §16.2: to Podium headquarters with "Attn. Legal Department," and by email to legal@podium.com

In plain terms: the clean way out is non-renewal, sent on time. Ending mid-term generally doesn't stop the bill for the rest of the term. If you think a for-cause reason applies to you, read §8.3 carefully and ask their support.

Get your data out

During your term. §8.4.1 says you can export your data at any time during the subscription term using the standard features.

After your term. §8.4.1 says you lose access when the agreement ends. You can make a written request within 30 days after expiration or termination, and the export may be a paid professional services engagement. Podium makes no warranty on how complete or timely the export is. After those 30 days, it may delete your data. Podium's terms (§4) also say it is not an archiving service.

Keep your phone number

Podium's phone service is covered by a separate Podium Phones Service Terms document that we did not review. A third-party article says Podium numbers can be ported. We have not confirmed that with Podium, so ask their support. Either way, the safe order is: start the port at the new provider first, and keep Podium active until the port completes. Don't let your term lapse in the middle of a port.

What happens after you cancel

When the term ends, your access ends (§8.4). You have 30 days to ask in writing for an export, which may cost money. After that, Podium may delete everything. One-time fees already paid are earned and non-refundable. Keep your non-renewal email, Podium's confirmation and your last invoice together, and check your statement after the renewal date to make sure no new charge went through.
