How to Cancel Service Fusion: Notice, Billing and Data

By the DispatchMind team · Updated 10/12/2026 · 5 min read

To cancel Service Fusion, send written notice by email at least 30 days before the end of your current term, and separately cancel the automatic payment authorization in writing at least 15 days before your next billing date. That's what the Service Fusion Subscription Agreement (last modified 03/23/2026) says as of October 2026. The notice email address is not visible on the public page, so ask their support which address to use.

Before you act on any of this: your signed order form or contract overrides the public terms. If it says something different, it wins. Check Service Fusion's site and terms for current details.

Before you cancel: a checklist

Step by step

  1. Read your order. Your term starts on the date in your initial online order. Check whether you're on monthly or yearly prepaid billing.
  2. Ask support for the notice address. The agreement (§15) says customer notices go by email, but the address is hidden on the public page. Ask their support for it in writing.
  3. Send written notice of termination. Say you're terminating at the end of your current term under §8.2. Include your company name, account details and the date.
  4. Cancel the auto-pay authorization in writing. §7.2 says the payment authorization stays in effect until canceled in writing, at least 15 days before the next billing date. You can put both requests in one email, but say both things clearly.
  5. Get a confirmation. Save the reply, the date and any ticket number.
  6. Pull your data before the term ends (see below).

Notice periods, refunds and contracts

From the Service Fusion Subscription Agreement, last modified 03/23/2026, checked 10/12/2026.

Topic What the agreement says
Term §8.1: starts on the date in your initial online order and renews automatically for periods equal to the first term
Cancel notice §8.2: either party may terminate with 30 days' written notice before the end of the current term
Auto-pay §7.2: the payment authorization stays in place until canceled in writing at least 15 days before the next billing date
Refunds §7.1: all fees are non-refundable
Declined payments §7.1: $35 administrative charge per declined transaction
Your data §4.1: after termination, Service Fusion may deactivate the account and delete the data in it
Export help §4.2: export files are provided as-is, and export work is a paid professional service

In plain terms: if you're on a yearly term and miss the 30-day window, it can renew for another year. Fees are non-refundable. The agreement also asks customers not to dispute scheduled charges with their bank, so handle billing questions with Service Fusion directly. If you have a yearly prepaid plan, ask their support how the end date works for you.

Get your data out

Service Fusion doesn't publish its own export guide that we could find. Two third-party guides (from other software companies) describe report-based exports:

Screens change, so confirm with their support. Ask also about estimates, equipment, price book, photos and attachments. Under §4.2, if you ask Service Fusion to do the export for you, it's a paid service, and the files come as-is. Do your exports while you still have access, since §4.1 allows deletion after termination.

Keep your phone number

We didn't find public Service Fusion information on porting numbers out. If any of your numbers come through Service Fusion (for example its phone and AI add-on), ask their support who holds the number and how to get the account number and PIN your new carrier needs. Start the port at the new provider first, and keep the Service Fusion account open until the port finishes. Cancel first and you can lose the number.

What happens after you cancel

Under §4.1, Service Fusion may deactivate your account and delete your data after termination. Ask their support the exact date access ends. Keep your notice, the auto-pay cancellation and the confirmation in one folder. Watch your bank or card statement for the next billing date to make sure no new charge goes through.
