Moving your data in

You don't have to retype your old jobs and customers. Write to us and we'll move your data into DispatchMind for you. Data move-in is free on the Business plan.

How it works

1. Sign up and pick your line of work, so your job types and tags are set up. See Getting started.
2. Email support@dispatchmind.ai and ask for a data move-in.
3. Send your data the way we ask in our reply.
4. We move it in and let you know when it's done.
5. You check it and tell us about anything that looks off.

What to put in your first email

The more we know up front, the faster it goes.

• Your company name, as it appears in DispatchMind
• The email you signed up with
• Which system you're coming from
• About how many customers and jobs you have
• How far back you want to go, for example everything since 01/01/2024
• Which plan you're on, or plan to pick
• Any date you need it done by

Getting your data out of your old system

Most job-management systems let you export customers and jobs as spreadsheet files, often called CSV files. Look in your old system's settings or reports for an export option. If you can't find it, ask their support how to export your customers and jobs.

Useful things to export, if your old system has them:

• Customers: full names, phone numbers, emails, addresses
• Jobs: dates, job types, status, notes, the tech, the address
• Estimates and invoices, with amounts
• Payments
• Your price list

Don't worry if your files are messy. Send what you have, and we'll tell you if anything is missing.

While the move-in happens

You can start using DispatchMind right away for new jobs. Many companies run new work in DispatchMind while the old data comes over.

• Set up your price book. See Estimates and invoices.
• Set up your color tags. See Jobs, tags and search.

Keep your old system until you've checked the move-in. Don't cancel it the same day.

Checking the move-in

When we tell you it's done:

1. Search for five customers you know well. Check names, phones and addresses.
2. Open a few of their jobs. Check dates, notes and amounts.
3. Check a few open balances against your old system.
4. Send us anything that doesn't match, with the customer name or job number.

Cost

Data move-in is free on the Business plan. On other plans, mention your plan in your email and we'll let you know.

Common questions

Will my old job numbers carry over? Tell us in your email if you need them kept, and we'll let you know what's possible with your files.

Is my data safe while you move it? Your company's data is kept in its own space, and only the logins you create can see it.
