FieldEdge vs DispatchMind: Pricing, Terms and AI Phone

By the DispatchMind team · Updated 10/12/2026 · 7 min read

FieldEdge is a strong pick for HVAC and plumbing shops that live inside QuickBooks and sell a lot of service agreements. DispatchMind is the better fit if you want published prices, a free trial, month to month billing and an AI dispatcher that answers the phone and books into your real schedule. Below is a fair side by side, as of October 2026, so you can decide which one fits how you run.

The short version

FieldEdge (part of Xplor) does a few things very well: deep two way sync with QuickBooks Online and Desktop, service agreements, and flat-rate pricing built for HVAC and plumbing. The tradeoffs are price visibility and commitment. You only get a price after a demo, and the Xplor terms renew for 12-month periods.

Pricing: quote only vs published

FieldEdge sells three tiers, Select, Premier and Elite, but you only see a price after a demo. Third-party sites put it around $100 per office user and $125 per tech per month, with a setup fee of $500 to $2,000. Treat those as rough. Your quote may be different.

DispatchMind prices are on the site:

Pay yearly and you get 2 months free. If you start paying by 12/31/2026, you keep the price you started on for as long as you stay.

Quick example. A shop with 2 office people and 6 techs on Pro pays $299 plus $90 for tech logins, so $389 a month. Using the third-party FieldEdge figures, the same shop would run around $950 a month before setup. Get your real quote and run the same math.

Contract terms: read the renewal clause

FieldEdge's legal page points to the Xplor US SaaS Terms (version 1.2). As of October 2026, those terms say:

None of that is unusual for this kind of software. It just means you should put your renewal date on a calendar, minus 60 days, the day you sign. Your signed order form controls, so read it too.

DispatchMind is month to month with no contract. The owner cancels from Plan and billing inside the app. On top of that, if you cancel within 30 days of your first paid charge, that first charge is refunded in full, once per company.

Phones and AI answering

We did not find an AI receptionist on FieldEdge's site as of October 2026. Some outside AI answering companies market to FieldEdge users to fill that gap, which means another vendor and another bill.

DispatchMind includes a phone system and an AI dispatcher:

QuickBooks and the back office

This is where FieldEdge shines. Its two way sync with QuickBooks Online and Desktop is the main reason many shops pick it. If your bookkeeper runs QuickBooks Desktop and wants every entry to flow both ways, ask FieldEdge to show that in the demo.

DispatchMind connects to QuickBooks and Xero. It also handles estimates from your own price book with e-signature, card payments through your own Stripe account, collections, tech pay and profit per job.

How to switch

  1. Find your FieldEdge order form and check the renewal date and the 60-day notice window.
  2. Export your customers, dispatch list, invoices, quotes and equipment list. FieldEdge has Export options on those screens.
  3. Start a DispatchMind trial and import the spreadsheet yourself. Statuses line up, open balances come over, canceled jobs stay behind, and re-running a file never doubles anything. Or email support and we move it in for you, free on Business.
  4. Move your phone numbers before you cancel anything. Start the port with the new provider first.
  5. Run both side by side for a couple of weeks, then send your notice in writing and keep the confirmation.

Full steps are on the switch page, moving your data in and how to cancel FieldEdge.

Questions

Is DispatchMind a good FieldEdge alternative?

Yes, if you want published prices, month to month billing, a built-in phone and an AI dispatcher. If deep QuickBooks Desktop sync is your top need, demo FieldEdge too.

How much does FieldEdge cost?

FieldEdge does not publish prices. Third-party sites estimate about $100 per office user and $125 per tech per month, plus $500 to $2,000 setup. Get a quote for your real number.

Can I cancel FieldEdge early?

Under the Xplor terms as of October 2026, ending early means a fee equal to your monthly fees times the months left. Check your own order form, since it controls.

Does DispatchMind connect to QuickBooks?

Yes. DispatchMind connects to QuickBooks and Xero.

Will my photos and call recordings come over?

Plan on exporting anything you need to keep yourself. Customers and jobs import from a spreadsheet. Don't count on photos or call recordings moving across.

Want to see it on your own jobs? Start the 14-day free trial, no card needed, or click through the live demo first. If you're ready to move, the switch page walks you through it.
